Before you begin
The Zoom integration is being prepared for release. General availability is subject to Zoom approval. These instructions describe the connection and teaching workflow for authorized testing and the planned release.
You need a Classbase account, membership in the relevant organization and permission to connect Zoom. A shared team connection requires an owner or admin. Your Zoom administrator may need to approve Classbase. Registration and past-meeting participant data require a Zoom license that supports those features; Basic accounts can have limited functionality.
Add your personal account
1. Sign in to Classbase and select the organization where you teach. Open personal Settings → Connections. In Connect an account, choose Connect Zoom. If Zoom is unavailable, ask your organization administrator to check the connection policy.
2. On Zoom’s authorization page, check which Zoom user is signed in and review the permissions. Authorize Classbase if you agree. Enter your Zoom password only on Zoom’s own sign-in page.
3. Return to Classbase, complete any remaining connection steps and check the account status in Connected accounts. You can also start through the Connect from Classbase link on this page.
Connect a team account
An organization owner or admin opens Settings → Integrations → Zoom, selects the shared team option and authorizes the team Zoom user. The person connecting it becomes its operator. Eligible instructors may be alternative hosts; otherwise the operator starts the meeting and assigns co-host rights. Do not share the host start link.
Schedule and manage sessions
Create a live session in your course, select Zoom and an available connected account, enter its title, start time and duration, assign the instructor and save. Classbase creates the meeting. Editing the session’s title or time updates its Zoom meeting; cancelling the session requests cancellation of the meeting. Check the session status if synchronization fails.
When supported and enabled, registration gives each learner a personal join link. Your organization can send full identity, use generated pseudonymous registration, or skip registration. Classbase sends its own session invitations. Removing a learner or cancelling the session requests removal of the associated registration links.
Start, join and check attendance
Open the session in Classbase. The authorized host or team operator uses the host action; learners use the join action. Zoom waiting rooms, passcodes and sign-in restrictions may still apply. Keep personal join links private.
After the meeting, open the session’s attendance view. Available Zoom events and past participant data may update attendance after the session ends, including separate instances of a restarted meeting. If Zoom data is unavailable, Classbase may show join or check-in evidence instead. Check the attendance source: clicking a join link does not prove attendance in Zoom.
Watch a cloud recording
If the host records a Classbase session to the Zoom cloud, completed MP4 files are imported into private Classbase media storage and published automatically to learners enrolled in the linked published course. Open the session’s Recording & materials area to watch. Instructors can read recordings again or unpublish them. Playback does not mark attendance or complete a course card. Recording availability depends on the Zoom license, processing and available Classbase storage; the default maximum is 512 MiB per file.
Troubleshooting
If approval is required, ask your Zoom administrator to approve Classbase and retry from Classbase. For a wrong or expired connection, disconnect or reconnect and authorize the correct Zoom user. If Zoom asks you to sign in repeatedly, report the error to support.
If learners cannot join, check the host’s waiting room, passcode, sign-in and domain restrictions. If an instructor cannot start a shared meeting, ask the operator to start it or check alternative-host eligibility. For missing personal links or attendance, check the host license and registration settings, allow time for reconciliation, and contact [email protected] if the issue persists.
Remove the connection
Follow the removal guide linked on this page for instructions in Classbase and Zoom, and for what happens to meetings and stored information.
